Choosing an Outsourcing Partner: Questions Worth Asking

The sales deck will not tell you much. These are the questions that reveal how a contact centre actually runs.

A glossy sales deck won't tell you how a contact centre actually runs at 4:00 PM on a Friday. When evaluating a BPO partner, you need to ask questions that reveal the reality of their operations.

Ask About Attrition, Not Just Capacity

Every BPO will tell you they can scale. The real question is how often they have to replace their existing staff. High agent attrition means you are constantly paying for the learning curve of new hires. Ask prospective partners for their 90-day and annualized retention rates. At Calls Hub Solutions, our retention rates consistently outperform the industry average because we treat our agents as professionals, not commodities.

Look at the Quality Assurance Loop

Don't ask if they have a QA team; ask how QA data actually reaches the agent on the floor. If QA scores are just dumped into a weekly spreadsheet for management, they are useless. The loop must be closed. We mandate one-on-one coaching sessions where QA analysts and supervisors review specific calls with agents within 24 hours of the interaction.

Test Their Technology Stack

Are they running legacy on-premise PBX systems, or are they cloud-native? Can they seamlessly integrate with your existing CRM via API? A true partner adapts to your technology, rather than forcing you into theirs. We operate a modern, secure, and fully redundant infrastructure designed for rapid deployment and deep integration.

The Site Visit is Non-Negotiable

If a BPO hesitates to let you walk their production floor unannounced, walk away. You need to see the energy, hear the ambient noise, and watch how supervisors interact with agents in real-time. Transparency is the foundation of the Calls Hub Solutions model—our doors are always open to our clients.
